Think Outside the Inbox

The person document contains information about the user, including the mailfile, home server, Internet password, and public key. Person documents are maintained in the University Address Book.

There are four main reasons to access the person document.

  • To obtain information about the location of a Lotus Notes account.
  • To change an Internet Password.
  • To change the format preference for incoming mail.
  • To change the general, work-related information such as a phone number.
  • Note: Only the owner and Lotus Notes administrators should make changes to an individual's person document.


It is recommended that only the Internet password and Work/Home information be changed by the owner. Any other changes should be requested through the IS Computer Help Center (472-3970)



To make changes to your person document, make sure to choose the copy of the University Address Book that is on the same server as your mailfile. This information is contained in the person document. Read below for the location of this information.



To open a person document:



1. Select File - Database - Open. (In Lotus Notes 8, select File, Open, Lotus Notes Application.)

2. Choose the same server the mailfile resides on. (i.e. unlnotes02.unl.edu/Servers/UNEBR)



Choose University of Nebraska's Address Book. (Note: The word book is often cropped off of the end.)



The filename will change to names.nsf. Click Open.

3. Once the address book is open, start typing your last name. The address book will go to the first record listed with that name. Double-click on the correct name to select and open the person document.

The first tab of the person document is the Basics tab. In the left column of this tab is the name information for the user. The only field that we recommend to be changed, by an individual, is the Internet password. If any information is incorrect or misspelled, please contact the IS Computer Help Center at 472-3970 to request corrections.

To change the Internet password.



The Internet password is the second to last field on the Basics tab. To change the Internet password, Select Edit Person, and click the Enter Password Box. Type in the change and click OK. Click Save and Close to save your changes.

The right column of the Basics tab is the Mail column. In this column is the information for the location of the mailfile path and name. The mailfile path will be important for anyone with delegation rights to access the mailfile or calendar. (Note: The mailfile path may not reflect your current name or organizational unit, because mail databases permanently remain in their original location.)

To change the format preference for incoming mail.



The format preference for incoming mail is the only field that can be changed by the user. The recommended setting is Keep in senders' format. This allows Notes to choose the best format for incoming messages.

To change general information, such as a phone number.



1. Single-click on the Edit Person button.

2. Single-click on the Work/Home tab. You may add, correct or delete as much or as little information as you like, keeping in mind that all Lotus Notes users on every campus have access to this information. Click Save and Close when finished making changes.
